Room Cleanliness Verification
Check each cleaned room before the front desk gives it to an arriving guest. A room that has been cleaned is not always ready for a guest, so a supervisor's check is the last step between the cleaning and the arrival. In Veridien you release a room by marking it Clean (or Inspected, if your property uses the inspection step) on the housekeeping board, and you record problems you cannot fix on the Maintenance tab.
This page covers checking and releasing rooms, the inspection step, and maintenance requests. For the board itself and for assigning rooms, see Task management.
Releasing a cleaned room
A room stays Dirty until someone marks it Clean. Finishing the cleaning does not change the status by itself, which gives a supervisor the chance to check the room first.
- The staff member cleans the room while its card sits in the Dirty column, with their name on the card.
- The supervisor checks the room against your property's standard.
- If it passes, the supervisor drags the card to Clean, or selects the card and then selects Clean under Status. The assignment clears and the front desk sees that the room is ready.
- If it fails, the supervisor leaves the room Dirty and the staff member cleans it again. The supervisor checks it again before marking it Clean.
A room with a problem that housekeeping cannot fix should go to Out of order until maintenance resolves it. See Logging a maintenance request.
Checking every room takes more supervisor time but leads to fewer complaints and room changes. A common middle ground is to check every check-out clean and every room that shows Arrival, and to spot-check stayover cleans.
The inspection step
If you want a supervisor's sign-off recorded in the system, turn on the inspection step. Go to Property Settings > Housekeeping and turn on Inspect cleaned rooms under Inspection.
With the step on:
- An Inspected column appears on the housekeeping board, after Clean.
- Clean means the room is cleaned and waiting for a supervisor.
- Inspected means a supervisor has checked it. Only a clean, empty room can be marked Inspected.
- Marking a room Inspected needs the Set Room to Inspected permission. Drag the card to Inspected, or select Inspected under Status in the room's dialog.
- At check-in, a room that is clean but not inspected yet asks the front desk to confirm, so a shift without a supervisor is never stuck. See Check-in.
When you turn the step off, inspected rooms read as Clean again.
What to check
Veridien has no built-in checklist, so use your property's standard. The list below is a practical starting point.
Bedroom
- Bed: sheets clean, tight and smooth; pillows plumped; duvet even on all sides; no hairs or debris.
- Surfaces: bedside tables, desk, dresser and TV stand free of dust, water marks and smudges.
- Wardrobe: hangers present and tidy; spare blanket, pillow, laundry bag and slippers in place if standard.
- Amenities: stationery, information folder and remote present and working; clock set correctly.
- Floors: carpet vacuumed or hard floors mopped, including under the bed; no stains or debris.
- Windows: curtains or blinds clean and working; glass free of fingerprints.
Bathroom
- Toilet: clean inside and out, no stains under the rim, bowl water clear.
- Shower or bath: tiles and grout clean, no soap scum or mildew, drain flowing, showerhead working.
- Sink and vanity: basin and counter clean and dry, mirror spotless, no water spots on taps.
- Amenities: fresh towels folded and placed, bath mat down, toiletries stocked to standard, toilet paper full.
- Floor: tiles clean and dry, no hairs in corners.
General
- Lighting: every bulb works; lampshades clean and straight.
- Climate: air conditioning or heating set to the property default and running quietly.
- Smell: the room smells fresh, with nothing left from the previous guest.
- Safety: smoke detector light visible; Do Not Disturb sign in place; evacuation map posted.
- Door and lock: the door latches; electronic lock, deadbolt and security latch all work.
Handling what you find
What you do depends on whether housekeeping can fix the problem.
Fixable on the spot. A crooked frame, a missing pen, a smudge on the mirror. Fix it, then mark the room Clean. Treat it as a coaching point, not a blocker.
Needs another clean. A missed stain, soap scum, dust on the blinds. Leave the room Dirty so it stays in the queue, tell the staff member what to fix (a note on the room's assignment works well), and check again before marking it Clean.
Cannot be fixed by housekeeping. A broken toilet, air conditioning that does not work, a damaged window, a smell cleaning cannot remove. Log a maintenance request and, for anything that makes the room unsellable, take the room out of service.
Never release a room with a real fault
A guest put into a room with a broken fixture, failing air conditioning or a safety problem complains at once and needs a new room. One fewer sellable room is always better than a bad arrival.
Logging a maintenance request
The Maintenance tab on the Housekeeping page lists every maintenance request at your property. You need the Manage Maintenance Requests permission to see it. See Users and roles.
To log a request:
- Open Housekeeping and select the Maintenance tab.
- Select New Request. The New maintenance request dialog opens.
- Choose the Room. Each option shows the room number, room type and floor.
- Describe the problem in Description, in at least 10 characters. Be specific, for example "Showerhead drips all the time, handle does not fully close."
- Set Priority to Low, Medium or High.
- Decide whether to Take the room out of service. This switch turns on by itself when you choose High, and you can change it. You cannot take a room out of service while a guest is in it.
- Select Create request.
Out of service takes the room off sale
A request that takes the room out of service sets the room to Out of order at once, and the change is logged. The room stays off sale until the request is resolved. Leave the switch off for problems that do not stop the room being sold.
Tracking and resolving requests
Each request shows the room number, a priority badge (Low, Medium, High), a status badge (Open, In Progress, Resolved), an Out of service badge when it holds the room off sale, the description, who reported it and when. You can choose who a request is assigned to on any request that is not resolved. Resolved requests show who resolved them. Requests are listed by priority, then newest first.
Two filters sit at the top of the tab: status (All Statuses, Open, In Progress, Resolved) and priority (All Priorities, Low, Medium, High).
Use the buttons on each request to move it along:
- Edit changes the description or priority.
- Start moves an Open request to In Progress.
- Resolve marks the request Resolved. You can resolve an Open request directly.
When you resolve a request that took the room out of service, Veridien asks you to confirm with Resolve and return to service. The room then returns as Dirty, so housekeeping prepares it before the next guest. If another open request also took the room out of service, the room stays out of order until that request is resolved too.
A checking round
It is late morning and several rooms on one floor have been cleaned and are still Dirty, with the rooms showing Arrival at the top.
- A stayover room passes: bed made, bathroom clean, towels fresh. Mark it Clean. The assignment clears and the front desk sees the room is ready.
- A check-out room with an arrival is spotless except for a water mark on the mirror. Wipe it, mark the room Clean, and note it for coaching.
- Another check-out room has a showerhead that drips all the time. This is a maintenance problem. Leave the room Dirty, open the Maintenance tab and log a request with a clear description and Medium priority, leaving the room in service while maintenance looks at it. Tell the front desk the room may be late.
- A room with a hair on the pillow and a dead bulb goes back to the staff member. Leave it Dirty with a note ("new pillowcase, replace desk lamp bulb"), then check again and mark it Clean.
When maintenance reports the showerhead fixed, resolve the request, check the room again and mark it Clean. Every arrival room is now checked and released, and the front desk can go ahead with check-in.
