How Emails Work

Veridien sends two kinds of email, and they look and behave differently on purpose.

The two kinds

Platform emails are mail from Veridien to you and your staff: sign-in codes, password resets, team invitations, weekly reports, and no-show alerts. They use one fixed Veridien design with a dark theme in every mail client, and you cannot change it per property.

Guest emails are mail from your property to its guests: reservation confirmations, changes and cancellations, check-in reminders, invoices, payment receipts, review requests, and more. They use your property's design and are sent under your property's name.

Choosing which guest emails go out

Open Settings and select Emails. Under Email types, switch a type on to send it automatically. Staff can always send any type by hand from a reservation. The same page sets the timing of the check-in reminder, pre-arrival, and post-stay emails.

Delivery provider

All email is delivered through Resend. Veridien builds each message as email-safe HTML, so it displays correctly in Gmail, Outlook, Apple Mail, and other mail apps. You do not need an email provider account of your own: the platform handles delivery.

Designing guest emails

On Settings, Emails, select Email editor under Design to set the colours, fonts, header, footer, and blocks of your guest emails. Pick a preset or your own colours. A guest email is painted in exactly the palette you choose, light by default and dark only if you choose a dark theme. It does not change with the reader's system or mail app theme.

What always applies

  • Powered by Veridien: every guest email ends with a small grey "Powered by Veridien" line. You cannot remove it.
  • Automated notice: by default, a guest email's footer says it is an automated message.
  • Scheduled emails: check-in reminders and other timed guest emails, weekly reports, and scheduled report exports are sent by background jobs in your property's time zone.
  • Weekly report: it shows the figures your Reports pages show for the last full week of your property's calendar (Revenue, Occupancy Rate, ADR, RevPAR, Reservations, Cancellations, and Guests), read at the moment it is sent. A correction made later shows on the Reports pages. It goes to members who can open Reports and see financial reports, and each send is recorded in the property's activity log.
