Reports
Reports is where you analyze the property's performance and export figures for accounting, tax filing and management reviews. Open Reports in the sidebar, under Money. The page opens on the Revenue report, and the list on the left switches between reports.
The reports
The list groups the reports by purpose.
Finance
- Revenue: recognized revenue for the period from rooms, services and outlets, net of tax and service charge, with voids taken out. Net Revenue also takes off channel commission and payment fees.
- Expenses: expenses, channel commission and payment fees recorded in the period. Operating Costs is the expenses ledger alone; an expense is recorded against a month and lands on its first day.
Hotel operations
- Guests: arrivals in the period, counted by the lead guest of each reservation, split into New Guests and Returning Guests. Below it, Guest Nationalities shows on a globe where your guests come from.
- Occupancy: room nights sold as a share of sellable room nights. Voided nights and cancelled stays are not sold, and rooms out of order are not sellable.
- Reservations: those created in the period, split into Direct Reservations and Channel Reservations. A hold that expired unpaid is not counted.
- Cancellations: reservations cancelled in the period, the Cancellation Rate against reservations made in the same days, and the Cancelled Room Nights they released.
- ADR: room revenue divided by room nights sold, net of tax and service charge.
- RevPAR: room revenue per sellable room night, net of tax and service charge.
- Channels: revenue from reservations that came through OTA sources, with the Channel Reservations and Channel Commission behind it.
Custom reports
Custom Reports holds report templates you build yourself, and the templates you have saved are listed by name below it. See Building custom reports.
Select the information button beside a report's title to read exactly how it is counted.
Choosing the period
Every report shares one toolbar, and its settings are kept in the page address, so a copied link opens the same view.
- Date range: choose a preset (All time, Today, This week, Last 7 days, Last 30 days, This month or Last month), or pick a start and end date on the calendar.
- Interval: show the chart Daily, Weekly or Monthly.
- Currency view: on a money report, show all currencies as their base-currency equivalent, or Separate currencies.
- Filter: narrow the report to one room type, source, channel or cost, depending on the report.
Charts and totals update as soon as you change a setting.
On the Revenue report, if your plan includes Expenses and you can view expenses, two more cards set revenue against costs: Revenue vs costs and Profit trend (cumulative revenue less operating expenses, channel commission and payment fees).
Exporting a report
Select the menu button at the end of the toolbar and choose Export as CSV, Export as Excel, Export as PDF or Export as JSON. The export holds the dates and figures of the report as you see it.
Building custom reports
Use Custom Reports to build the tables your filings and owners need. Select New report to start one, or add a Recommended template. A template is either a Metrics table or a Guest register, and can be grouped by day, month, segment, nationality, source or room type. For properties in the Maldives, the recommended templates include supporting tax reports; review exemptions, tax rules and the recorded transactions against the current MIRA forms before filing.
Note
Tax figures depend on how your taxes are set up. If a tax looks wrong or is missing, check the charge stack in Taxes and charges.
The weekly report email
Every week, at 8:00 in the property's time zone on the day its week starts, members who can open Reports and view revenue and occupancy figures receive an email with last week's figures from these pages: Revenue, Occupancy Rate, ADR, RevPAR, Reservations, Cancellations and Guests, under the same names. The email does no arithmetic of its own; its button opens the Revenue report for that week. The figures are read when the email is sent, so a void or a room status change made later shows on the Reports pages and not in the email. Each send is recorded in the property's Activity Log.
Financial statements
The income statement, balance sheet and cash flow are built from your chart of accounts and live under Accounts > Statements. Old links to the Profit and loss and the Balance summary open them there. See Statements.
Common workflows
Night auditor: end of day
At the close of business, set the date range to Today and review:
- Revenue, to confirm revenue posted as expected.
- Occupancy, to confirm the rooms sold.

Accountant: monthly close
At month end:
- Set the date range to Last month and export Revenue and Expenses.
- Run your tax template under Custom Reports for the month and export it for your filing.
- Reconcile each payment method against your bank deposits on the Payments page.
- Open Accounts > Statements for the month's income statement.
Revenue manager: weekly review
Each week:
- Set the date range to Last 7 days and check Occupancy, ADR and RevPAR.
