Taxes & Charges

Your charge stack decides what a guest is billed on top of the room price. Get it right before you take a single live reservation, because every charge is frozen onto the reservation when it is made. Correcting the stack later fixes future reservations; it never rewrites what a guest was already quoted or charged.

You set it up under Property Settings > Taxes and charges. Payment methods and their processing costs have their own page, Property Settings > Payments.

Get this right before your first live reservation

Charges are recognized once, when a reservation is created. If you launch with a missing tax, the reservations taken in the meantime keep the stack they were created with, and the shortfall has to be corrected on each folio by hand.

The charge stack

The Charge stack lists every tax and charge in the order it applies. Each row has a switch that turns the charge on or off at once: off keeps the charge and its history, and stops applying it to new reservations. Select Add charge to create one, or select a row to edit it.

How a charge is defined

Each charge's page is split into sections. Together they express almost any statutory or house charge as data, without code.

The charge

  • Name: what the guest sees on the bill.
  • Type: where the money goes once collected. Tax (remitted to government), Pass-through (paid out to staff) or Revenue (kept by the property). The reports read this.
  • Applies to: Everything on the reservation, Room charges only or Food and drink only.
  • Active: whether new reservations include it.

How much

  • Charged as: Percent of the bill, Fixed per guest / night or Fixed per reservation.
  • Currency: for a fixed amount; blank uses the property's base currency.
  • Rate or Amount: the percentage or the fixed amount. Select Add rate period to schedule a new rate from a date, so a rate change applies on time.
  • Percent of: for a percentage, whether it is taken from The room and extras only or from The running total (compounding). This is what creates the order of charges described below.
  • Taxable base: which charges the percentage is taken from in the tax reports. None ticked means the whole bill.

When it applies

  • Conditions: narrow the charge to the stays, nights and guests it is due on, such as guest nationality, resident status, age, party size, night of stay, stay dates, room type, rate plan, source or nightly rate. Every condition has to hold. Nothing added means the charge applies to every reservation.
  • Guests: Every guest, International guests only or Local guests only. With International guests only, national and verified-resident guests are exempt. Otherwise the market is read from the reservation's rate plan, so a rate plan you create next month is covered with no setup.
  • Exempt under age, Exempt nationalities and Rate plans: further ways to leave guests or plans out.

Limits

Cap a charge with Most nights per stay, Most per stay or Most per night, set a floor with Least per stay, choose Rounding, and add Tiers that replace the amount when their conditions hold.

Filing

  • Order: where the charge sits in the stack. Lower numbers apply first.
  • Code: the name the tax reports and exports use.

Order is what makes the hierarchy

The Order of the charges, combined with each one's Percent of, decides how charges compound. A tax taken from the room price and the same tax taken from the running total produce different totals.

The Maldives stack is a clear example, expressed entirely as data:

  1. Service charge, 10%, a percent of the room and extras only.
  2. TGST, 16%, a percent of the running total, so it is levied on the room price plus the service charge.
  3. Green tax, a fixed amount per guest per night, applied last and never itself taxed.

Reorder those charges and the guest pays a different total. After any change, check a test quote before you rely on it.

Inclusive and exclusive pricing

A charge is either added on top of the price or already inside it.

  • Exclusive charges are added to the folio as their own line and increase what the guest owes.
  • Inclusive charges are already inside the rate. They appear on the folio and the invoice for transparency, and are reported as tax collected, but they never increase the balance.

Inclusive or exclusive is a setting of the rate plan, not of the charge. When a plan is inclusive, Veridien works backward from the gross price to the net room revenue and the tax inside it, so your ADR and RevPAR are reported net of tax.

Inclusive pricing is not yet self-service

The rate plan form has no inclusive or exclusive setting today, so a plan is exclusive unless it was created inclusive for you. Ask support before you publish an inclusive rate card. Because revenue is recognized when a reservation is made, changing this later does not restate any existing one.

Presets

Rather than building a stack from scratch, select Apply preset and choose one, such as a Maldives establishment, VAT only, or a city tax. A preset adds its charges to the stack in their legal order with the usual rates. Charges you added yourself stay as they are, every value stays editable, and applying a preset again resets its own charges to the preset's values. Apply the preset first, then adjust the rates to match your own registration.

A preset is a starting point, not advice

Presets reflect common configurations, not your specific tax position. Confirm the rates and which charges apply to your property with your accountant before going live.

Outlet charges are separate

Each outlet, such as a restaurant or a guest shop, has its own charges, set per outlet under Charges in the outlet's settings. Property charges do not apply to outlet orders and outlet charges do not apply to reservations, which is what lets an outlet carry a different tax treatment (and a different currency) from rooms.

Payment method fees

Card and gateway fees are set on the payment method itself, under Property Settings > Payments. They are a merchant cost, not a guest surcharge. The fee is frozen when a payment is recorded and counts as a cost in your reports. It never increases the guest's balance. See Payment methods and processing costs.
