Check-Out

Check-Out

Check a guest out to end their stay. Checking out sets the reservation to Checked-Out and marks every room the stay held Dirty, so housekeeping can prepare it for the next arrival. Before you check out, settle the folio: Veridien checks that nothing is still owed.

Warning

You need the Check Out Guests permission (frontDesk.checkOut) to check a guest out. It is a separate permission from Check In Guests. See Users and roles.

Before you start

You can check out a reservation only when its status is Checked-In. The day's departures are listed in the Departures column of the dashboard's Overview widget. See Today at a glance.

Settling the folio first

Check-out does not take a payment. Collect the final payment on the folio before you check the guest out:

  1. Open the guest's folio from the reservation.
  2. Review the charges with the guest, especially charges beyond the room rate.
  3. Select Record payment and enter the amount, the payment method and an optional reference.

If a guest questions a charge, correct it on the folio. See Folios and Payments and settlements.

A folio counts as settled only when every currency on it nets to zero. A balance in one currency blocks check-out even if the guest has overpaid in another currency.

Checking a guest out

You can check a guest out in three places. All three run the same settled-folio check.

  • The dashboard. In the Departures column, select Check out on the guest's row. When the check-out succeeds, the row shows Departed.
  • The reservation status menu. On the reservation page, open the status menu and select Checked-Out.
  • The room's actions menu. On the reservation page, open the actions menu on a room's row and select Check out guest. This option appears only on that room's check-out date.

Checking out with an outstanding balance

If the folio still has a balance, Veridien stops and shows a message such as "The folio still has an outstanding balance of [amount]."

  • From the dashboard, the message appears with a Check out anyway action.
  • From the status menu or a room's actions menu, a Check out anyway? dialog opens with a Check out anyway button.

Select Check out anyway only when you mean to let the guest leave with money owed.

Warning

Do not check a guest out with an outstanding balance unless your manager has approved it. Once the guest has left, collecting the rest is much harder. Record the payment on the folio first, or get approval before you override.

What happens when you check out

When the check-out succeeds, Veridien does all of the following in one step:

  • Sets the reservation and each of its rooms to Checked-Out and records the check-out time.
  • Marks every room the stay held Dirty, with an entry in the room's status history.
  • Writes an entry to the activity log and sends a notification to your team.
  • Sends the guest the review request email.

The rooms then appear as Dirty in room management and on the housekeeping board. See Room inspections.

Checking out one room of a multi-room reservation

On a reservation with several rooms, you can check out one room at a time with Check out guest in that room's actions menu. That room becomes Checked-Out and Dirty, and the other rooms stay in-house. When you check out the last room, Veridien checks out the whole reservation and runs the settled-folio check.

Common mistakes

Overriding the balance message out of habit. The message is there so no guest leaves with unpaid charges by accident. Collect the remaining amount unless a manager has approved leaving it open.

Checking out before recording the payment. Check-out has no payment field. Record the payment on the folio first, or the balance message appears.

Not reviewing the folio with the guest. Look through the charges before you present them. Correcting a wrong charge at the desk is much easier than handling a dispute after the guest has gone.
