Reports & Reconciliation

Reports & Reconciliation

Use Reports to see how one outlet is selling, what it took in payments and what it cost to run, and to close the day's cash drawer. Use Reconciliation to confirm that the outlet's ledger agrees with itself before you trust its numbers. Both pages sit under the outlet's name in the Outlets group of the sidebar, and both need the View Reports permission.

Choosing a period

Each report covers the date range in the picker at the top of the report. It opens on the current month. Sales Overview and Profit & Loss also have an Interval menu (Daily, Weekly or Monthly) that sets how their trend charts group the days.

To export a report, select the More report actions menu next to the picker, then select Export CSV, Export Excel or Export PDF.

Money is shown in the property's base currency. Where a payment was taken in another currency, the tables show that currency next to the recognized amount, so a converted total can always be traced back to what was actually taken.

Report sections

The rail on the left groups the sections under Performance, Payments and Controls. A Guest Shop has its own shorter list: Sales Overview, Product Sales, Payment Summary and Day Close.

Sales overview

Sales Overview shows sales and guest activity for the period:

  • Orders: settled orders in the period.
  • Average order: net sales per order.
  • Guests served: the covers recorded on those orders.

Below the tiles are the Sales trend chart, the Sales breakdown (Gross sales, Discounts, Refunds, Net sales and each configured charge) and Payments by currency.

Profit and loss

Profit & Loss shows Revenue and Deductions tiles, a Net profit trend chart, and a Period breakdown that works down from Recognized revenue through each charge, Payment fees and Recorded expenses to Net profit. Charges use the name and rate frozen on each settlement. Costs are the outlet's expenses allocated to the period.

Item sales

Item Sales ranks every menu item by recognized revenue, with quantity, average selling price, discounts, margin, voided quantity and refunds. This is the mix report: what actually sells, rather than what the menu emphasises.

Payment summary

Payment Summary groups every payment in the period by the payment method and currency frozen at settlement, with Payments received and Payment fees totals. Reconcile it against your processor statements and your cash count.

Transactions

Transactions lists every closed order in the period: when it closed, its invoice number, table, total, the currency it was paid in, the recognized amount and fees in the base currency, and the payment methods used. Select View on a row to see its subtotal, service charge, tax and total. Settlements are frozen when the payment is recorded, so a later change to a payment method or a rate never rewrites this report.

Voided items

Voided Items lists the order lines voided in the period with the reason the manager recorded, plus Voided lines, Voided value and Voided orders totals. A line's value is its frozen unit price times its quantity. Voids are an operational signal as much as a financial one, which is why they are reported rather than merely logged.

Stock costs

Stock Costs shows the Cost of goods sold for the period, built from the stock that sales used. Each sale movement is valued at the unit cost frozen when it was recorded. A movement without one falls back to the most recent delivery cost, and counts as zero when there was no earlier delivery. An outlet with no recipes in inventory reports no cost of goods here, no matter how much it sold.

Day close

Day Close is the end-of-day routine for the outlet. Pick the Business day to review. The page shows that day's Orders, Revenue and Expected cash, and a Payments table of what was taken by method and currency so far. This is a live read: nothing is frozen until you close the day.

To close the day:

  1. Count the cash drawer.
  2. Enter the count in Counted cash and add any Notes (optional).
  3. Select Close day.

The close records the counted cash against the expected cash and shows the Over / short. Closing needs the Settle Bills permission.

One close per day

Each business day can be closed once, and a closed day cannot be reopened. Count the drawer before you select Close day.

Reconciliation

Reconciliation checks that the outlet's ledger is consistent. It runs automatically every night for the previous business day, so there is nothing to start by hand. The page is read-only and shows the Latest run: the day it covered, when it ran, and a pass or fail for each of six checks:

  • Payment legs sum to order total
  • Every closed order has exactly one settlement
  • Daily rollups match the settlement ledger
  • Room-charge settlements have a live folio line
  • Fired lines have matching stock sale movements
  • On-hand stock equals the movement ledger sum

A failed check lists its mismatches underneath. When any check fails, everyone with the View Reports permission gets a notification.

Open this page before you trust a month's numbers, and first whenever an outlet total does not agree with a folio.
