System Overview

This page explains how Veridien's modules connect and where to find each one in the sidebar. Hotel departments do not work in isolation: a reservation made online touches the channel manager, the front desk, housekeeping, and finance before the guest even arrives. Veridien is one integrated system, so everyone on your team works from the same data.

The big picture

The property sits at the centre, and every module reads from and writes to shared data (rooms, guests, reservations, folios). A change in one place reaches the others.

When a guest books on an OTA, Channels turns it into a reservation and a folio opens with it. The front desk sees the arrival on the Dashboard. Housekeeping prepares the room. During the stay, outlet and service charges land on that folio. At checkout the folio settles, the room changes to dirty, and Reports capture the revenue. One guest journey, many modules, one source of truth.

What each section does

The sidebar groups pages into sections: Stay, Guests, Sell, Money, Outlets, and Insights, with the Dashboard above them and Settings below.

Dashboard

The Dashboard is the first page you see in a property. It shows today's arrivals, departures, and in-house guests, with performance widgets you can arrange. See Today at a Glance and the Dashboard guide.

Stay

Stay covers everything between arrival and departure:

  • Reservations: where reservations live before, during, and after a stay. You create reservations, assign rate plans, attach guest profiles, and book several rooms for one party. Every reservation moves from Pending or Confirmed to Checked-In to Checked-Out, or ends as Cancelled or No-Show. See Creating Reservations.
  • Rooms: your rooms and room types. See Room Management.
  • Housekeeping: the cleanliness and maintenance status of every room. When a guest checks out, the room changes to Dirty; an attendant cleans it and marks it Clean, and only then can the front desk check the next guest in. Rooms can also be placed Out of order for maintenance, which removes them from sellable inventory. See Task Management and Room Cleanliness Verification.

Check-in and check-out happen from the reservation and the Dashboard. See Check-In and Check-Out.

Key concept: property

A property is a single hotel, resort, or other accommodation site. Every module, room, folio, and staff role exists within the active property. If you manage several sites, switch between them with the property switcher in the sidebar. See Key Concepts.

Guests

Guests holds Guests (profiles and stay history), the Inbox (guest messages from Booking.com, Airbnb, and Expedia, relayed by Channels), Reviews, and Loyalty. See Guest Profiles.

Sell

Sell covers how you price and distribute your rooms: Rate Plans, Promotions, Services you sell as add-ons, and Channels.

Channels connects your property to OTAs and synchronises availability and rates. An incoming channel reservation becomes a Confirmed reservation, and availability drops across every connected channel to prevent overbooking. Reservations from your own website come in through the API.

See Rate Plans, Veridien Channels Setup, Managing Availability, and Reservation Sources.

Money

Every financial transaction passes through Money. The central object is the Folio, the running account attached to a stay. The section holds Folios, Expenses, Invoices, Accounts, and Reports. Taxes, charges, payment methods, and currencies are configured under Property Settings.

See Folios, Payments and Settlements, Invoicing, and Night Audit.

Reports combine data from every module: revenue, occupancy, ADR (average daily rate), and RevPAR (revenue per available room), with breakdowns by source, payment method, and tax. Reports read data rather than change it, but they inform decisions everywhere else, such as adjusting rates or reviewing channel performance. See Reports.

Outlets

Outlets lists each outlet by name, such as a restaurant or a guest shop, with its screens under it. Charges from an outlet can post to an in-house guest's folio. The section appears only when your property has Outlets. See the Outlets overview.

Insights

Insights holds the Activity Log, a record of who did what in the property, and Vesper, the AI assistant, with its Chat History and Usage.

Key concept: permissions

A permission controls what a user can see and do. Permissions are grouped into roles (such as Property Owner, Manager, Front Desk Staff, and Housekeeping) that an administrator assigns to each account. The sidebar shows only the pages your role allows. See Users and Roles.

The sidebar is your main way of moving between modules. Search and the property switcher sit at the top, and pages are grouped:

  • Dashboard: today's snapshot for the active property.
  • Stay: Reservations, Rooms, Housekeeping.
  • Guests: Guests, Inbox, Reviews, Loyalty.
  • Sell: Rate Plans, Promotions, Services, Channels.
  • Money: Folios, Expenses, Invoices, Accounts, Reports.
  • Outlets: each outlet by name, with its screens under it.
  • Insights: Activity Log, Vesper, Chat History, Usage.
  • Settings: Property Settings.

The notifications bell sits in the bar at the top of the window. Your account menu, with Settings and Log out, is at the bottom of the sidebar.

Not seeing a page?

The sidebar shows only the pages your role allows and your property's plan includes. Contact your property administrator if you need access. See Users and Roles.

How data flows

A typical stay shows the connections:

  1. A guest books on an OTA. Channels creates a Confirmed reservation, and a folio opens with it.
  2. Availability drops across all channels automatically.
  3. On the arrival date the Dashboard lists the guest under arrivals.
  4. Housekeeping prepares the room and marks it Clean.
  5. The front desk checks the guest in, and the room changes to Occupied.
  6. Outlet and service charges post to the folio during the stay.
  7. At the end of each day, staff run the end-of-day routine to confirm the day's charges and payments balance.
  8. At departure the front desk settles the folio and checks the guest out, and the room changes to Dirty.
  9. Reports record the revenue, occupancy, and source data.

Every step involves at least two modules sharing the same data. That is why Veridien is one integrated system rather than a set of separate tools.
