Rate Plans

Use rate plans to set what a guest pays for a room type. Each room type can have several rate plans (for example Room Only, Bed and Breakfast or Half Board), and each plan's price can change by season through seasonal intervals, which set day-of-week prices, length-of-stay rules, closed to arrival and closed to departure, stop sell and extra-guest charges. This guide explains how to build and manage rate plans, and how they drive the reservation wizard.

Where rate plans live

Open Rate Plans from the Sell group in the sidebar. Plans are grouped by room type. Under each room type you see its plans, and expanding a plan shows its seasonal intervals.

Discounts live on their own page, Promotions, in the same group. A promotion is a rate plan too, built on the rate plan it discounts. The page you create a plan on decides what it is, so there is no plan-type choice to get wrong.

Permissions

Seeing rate plans needs the View Rate Plans & Seasons permission. Adding a plan needs Create Rate Plans, changing one needs Edit Rate Plans & Seasons, and deleting one needs Delete Rate Plans. Controls you do not have permission for are hidden or shown disabled.

How a rate plan is priced

A rate plan's Pricing tab holds its core fields:

  • Name: what staff and guests see for the plan. Use what the guest is buying, like the board basis, not an internal code.
  • Rate currency: leave it on the base currency, or price the plan in another accepted currency. Plans in another currency show a base-currency equivalent in the list, and are not sent to channels.
  • Base price per night: the nightly rate at the room type's base occupancy, used on any date no interval covers.

In the list, each plan also shows:

  • Default: one plan per room type is the default and is preselected in the reservation wizard. The default plan cannot be deleted.
  • Active: the switch on the plan's row. Only active plans can be sold. Turn a plan off to stop selling it without deleting it. Plans built on it stop selling with it.

The Occupancy pricing section sets what guests beyond base occupancy pay, and what a solo guest saves:

  • Extra guest per night: the charge for each guest above the room type's base occupancy. Base occupancy belongs to the room type, not the plan.
  • Single occupancy discount: a fixed amount or a percentage off for one guest.
  • Age bands: optional bands that change the extra-guest charge by age. Each band sets a Min age, a Max age and a Charge: Free, Percent off or Fixed amount. A guest in no band pays the full charge. This is how a child or infant is priced differently from an extra adult.

Seasonal intervals change prices and rules by date, and can override the extra-guest charge and single occupancy discount for a season.

Deriving a meal plan from another plan

A plan does not have to price itself. In the Derivation section, choose a parent in Derived from, then choose the Adjustment:

  • Percent of the parent rate: a share of the parent's nightly rate.
  • Fixed amount per night: an amount per room per night.
  • Amount per guest, per night: an amount per guest per night. This is what makes meal plans work, since half board is a per-person supplement rather than a percentage.

Enter the difference in Amount. Half Board derived from Bed and Breakfast at 40 per guest per night moves whenever the Bed and Breakfast rate moves, so a meal plan never has to be re-priced by hand. Discounts are not set here; they belong in Promotions. Leave Derived from on Nothing (prices itself) for a plan that stands on its own.

Derived plans sell on OTA channels at their worked-out price

Turn on Distribute to channels on a derived plan like any other. The channels receive the price a guest would be quoted: the parent's rate for each night with this plan's difference applied, so the plan follows every change to its parent.

Guest listing

Guests and staff do not need the same words for a plan. The Guest listing section on the Distribution tab sets how the plan appears in offers returned by the API:

  • Public name: the guest-facing name, for example "Stay Longer, Save More". The internal Name stays for staff.
  • Description: what the guest gets, in their words.
  • Image address: an image for the plan, returned with the offer.

Reservation rules

Seasonal intervals price by date. The Reservation rules tab decides whether the plan can be used at all:

  • Sale window: On sale from and On sale until set when the plan is on sale, separately from the nights it covers. This is how an early-bird rate closes for sale while the stay window stays open.
  • Stay window: Stays from and Stays until set the nights the plan can cover.
  • Length of stay: Minimum nights and Maximum nights for the whole plan, on top of any interval limits.
  • Days of the week: every night of the stay must fall on a selected day, so a Friday and Saturday offer will not sell a Sunday night. Select none to allow every day.

Leave any of these empty for no limit.

Policies

The Policies tab sets the terms the plan is sold under. Guests keep the terms they reserved with.

  • Cancellation policy: one of your cancellation policies, or Property default.
  • Require prepayment: the whole stay is due when reserved.
  • Payment terms: Property default, or This plan's own terms with a Deposit when reserved and when the Balance due falls. Sources and agencies with their own terms still use theirs.

Sales channels

The Sales channels section on the Distribution tab controls where the plan is sold, and nothing is published by default:

  • Sell directly: guests who book direct through the API can choose this plan. Off by default.
  • Distribute to channels: send the plan's rates to the OTA channels it is mapped to. Off by default, and mapping a plan in Channels does not turn it on. See Channels setup for every reason a plan is withheld.

If your property has the Veridien Dynamic Pricing add-on (the Dynamic pricing row in the sidebar), its prices apply to your connected channels and offers returned by the API only. The front desk and the reservation wizard always quote the configured rates.

Tax-inclusive pricing

Whether a plan's base price already includes taxes and service charges is set on the plan, but there is no switch for it on this form yet, so a plan is tax-exclusive unless it was created inclusive for you. Ask support before publishing a tax-inclusive rate card, and see Taxes and charges.

Creating a rate plan

  1. On the Rate Plans page, find the room type and select Add Rate Plan.
  2. Enter a Name.
  3. Enter the Base price per night.
  4. Optionally choose a Rate currency. If you skip it, the plan uses the property's base currency.
  5. Fill in any other sections you need, then select Create rate plan. The new plan appears under its room type.

To change a plan later, select its pencil button (Edit rate plan). The plan's page has Pricing, Inclusions, Reservation rules, Policies and Distribution tabs, and each section saves when you leave it. To delete a plan that is not the default, select its trash button (Delete rate plan); its seasonal intervals are deleted with it.

Inclusions and credits

A plan can include extras that come with the room, on its Inclusions tab. The plan still sells for one price: each priced inclusion takes its share of that price and its revenue category, and the room takes the rest. The Revenue split section shows how the price divides across a sample stay.

Each inclusion is one of two types:

  • Perk (fixed item): an included item, such as a daily breakfast for two or a welcome drink. A free perk (amount left at zero) reads as a "what's included" line.
  • Credit (spendable): an allowance for one category, such as a $150 spa credit or a $100 restaurant credit, that the guest spends during the stay.

Each inclusion has:

  • Inclusion: what the guest sees, for example "Spa credit".
  • Service item: an optional link to your service catalogue, so a bundled massage is the same item your add-ons and outlets sell.
  • Amount (or Credit value for a credit): the value in the plan's currency. Zero means a free perk.
  • Type: Perk (fixed item) or Credit (spendable).
  • Frequency: Once per stay, Per night, Per guest or Per guest, per night. This decides how many times the value counts across a stay.
  • Quantity: how many are included.
  • Revenue category: Room, Restaurant / dining, Spa, Excursions, Activities or Other. For a credit, this is also what it can be spent on.

Inclusions belong to the plan, not the reservation

Inclusions are set on the rate plan and apply to every reservation made on it. To offer the same room with and without breakfast, use two plans (for example Bed and Breakfast and Room Only) rather than changing one plan per reservation.

Seasonal intervals

Intervals change a plan's price and availability over time. Expand a plan on the Rate Plans page to see its Seasonal intervals, and select Add Interval to create one. Each interval covers a date range and sets:

  • Name: a label such as Peak Season, Off Season or Christmas.
  • Start date and End date: the range it applies to.
  • Day-of-week rates: a price for each weekday, Monday to Sunday. Leave a day blank to use the plan's base price. This is how you charge more at weekends or less midweek.
  • Length-of-stay restrictions: an optional Min stay (nights) and Max stay (nights). Stays that do not meet them cannot use the plan on those dates.
  • Closed to arrival: prevents check-in on dates in the interval.
  • Closed to departure: prevents check-out on dates in the interval.
  • Stop sell: closes the plan for sale on dates in the interval.
  • Extra-guest overrides: a seasonal Extra guest / night charge and Single occupancy discount in place of the plan's own. Leave them blank to keep the plan's values. Age bands are always set on the rate plan.

Select Add interval to save it.

Day-of-week pricing is per night

Because rates are set per weekday, a single stay can mix prices. A Friday to Monday stay picks up the Friday, Saturday and Sunday rates from the interval, and the reservation total is the sum of those nights. You can review and override individual nightly rates in the wizard's rate grid.

Copying intervals

To reuse one room type's seasons on another, select Copy Intervals at the top of the Rate Plans page. Choose a Source room type and a Target room type, then select Copy intervals. Every seasonal interval is copied to the rate plan with the same name on the target room type, and the target's existing intervals are kept. This saves rebuilding a full season interval by interval.

How rate plans feed the reservation wizard

In the reservation wizard's Rooms step, after the source and dates are set, each room type lists its rate plans:

  1. Eligibility. Only active plans appear. A plan is shown as restricted, with the reason, and cannot be selected when a rule blocks it for the chosen stay, for example a minimum stay the dates do not meet, or a closed to arrival or closed to departure flag.
  2. Default first. The room type's default plan is preselected; staff can switch to any other plan that is not restricted.
  3. Pricing. Each night's rate comes from the matching interval, or the base price where none applies, and the extra-guest charge (changed by any age band) applies to guests above the room type's base occupancy.
  4. Overrides. Staff can override any nightly rate in the rate grid for a one-off price without changing the plan.

See Creating reservations for the full wizard.

Managing pricing over time

For a peak-season rise or a seasonal discount, add an interval to the plan with the right dates and day-of-week prices, and set any minimum stay or closed flags it needs. When the period ends, the interval stops applying and the plan falls back to its base price. Reservations already made keep the price they were quoted.

Promotions and discounts

A rate plan never carries a discount of its own. Percentage-off and fixed-amount deals live in Promotions, where each promotion is a separate plan built on the rate plan it discounts (for example "Advance Purchase, save 20%"). A promotion can be public or need a promo code to unlock it. Keeping discounts out of the rate plan means the plan always states the real price, and every discount is a deliberate, trackable offer.

Common mistakes with rate plans

Too many plans. Every active plan is another choice in the wizard. Keep the list short and purposeful so staff pick the right one quickly.

Leaving a plan active by accident. Only active plans can be sold. Turn off plans you are not selling.

A wrong base price. Any date no interval covers uses the base price. If it is wrong, gaps between your seasons sell at the wrong rate.

Overlapping intervals. Avoid overlapping date ranges on the same plan, so it is always clear which prices and rules apply on a given night.
