Outlets overview
Use Outlets to sell beyond the room: a restaurant, a guest shop, a spa, or activities. Each outlet takes its own orders, sales, or bookings, settles them on the spot or charges them to a guest's room, and reports alongside room revenue.
What an outlet is
An outlet is one place that sells. It has its own catalogue, charges, payment methods, receipt layout, printers, and trading currency. Two outlets in one property keep two independent configurations.
Every outlet appears by name in the Outlets group of the sidebar, with its screens nested under it. Select the outlet there to work in it. To add one, select the + button on the Outlets group heading, which opens the outlet setup. A property with no outlets yet shows a New outlet row in that group.
Outlet charges are separate from hotel charges
You set an outlet's charges on the outlet itself. They do not inherit the property's reservation charges. See Taxes and charges.
Outlet types
You choose the type when you create an outlet. A property can have one outlet of each type:
- Restaurant: table service with a floor plan, a kitchen display, a menu with modifiers, and inventory with recipes. Run a bar or a pool bar as a restaurant outlet.
- Guest shop: a retail counter that sells products and tracks their stock, with no tables or kitchen.
- Spa: treatments booked by the hour, with therapists, rooms, and their hours.
- Activities: excursions and classes at set departure times, with places per trip.
Restaurant screens
A restaurant outlet has seven screens under its name in the sidebar:
| Screen | What it is for |
|---|---|
| Cashier | The floor plan and order pad: open a table, add items, send to the kitchen, settle. |
| KDS | The kitchen display: live tickets by station, with cook timers. |
| Menu | Items, categories, prices, prep times, and modifier groups. |
| Inventory | Stock on hand, receiving, counts, and recipes that deduct from stock. |
| Reports | Sales, profit and loss, items, payments, voids, stock costs, and day close. |
| Reconciliation | Ledger checks that run every night. |
| Settings | Identity, currency, charges, payment methods, receipt, table orders, and printers. |
Guest shop screens
A guest shop has five screens:
- Sale: ring up a sale and settle it.
- Products: the items the shop sells.
- Stock: the on-hand count for each product, changed by receiving, adjusting, or counting it.
- Reports: Sales Overview, Product Sales, Payment Summary, and Day Close.
- Settings: the same sections as a restaurant except table orders, plus a Sell past zero switch that lets a sale go through when the count says none are left.
Spa and activities screens
A spa or an activities outlet has five screens:
- Calendar: the day's bookings.
- Treatments (spa) or Activities (activities): what guests book.
- Therapists and rooms (spa) or Boats and guides (activities): who and what delivers each booking.
- Reports: the outlet's sales.
- Settings: the same sections as a guest shop, plus Bookings, where you choose When bookings are charged.
Permissions
Every outlet screen needs View Outlets (outlets.view). The actions inside are granted separately, so a server can take orders without being able to void a fired line or read a sales report:
- Take Orders (
outlets.takeOrders): open tables or sales, add lines, send to the kitchen. - Settle Bills (
outlets.settle): take payment and close an order. - Void Items (
outlets.voidItems): void a line that has already been fired, and void a whole order. - Manage Menu (
outlets.manageMenu): edit items, categories, modifiers, and shop products. - Manage Stock (
outlets.manageStock): receive, adjust, and count inventory or shop stock, and edit recipes. - View Reports (
outlets.viewReports): the Reports and Reconciliation screens. - Kitchen Display (
outlets.kds): the KDS, and advancing a line's cooking state. - Manage Outlet Settings (
outlets.manageSettings): everything on an outlet's Settings, arranging the floor plan, and creating new outlets. - Book Treatments and Activities (
outlets.book): book a treatment or an activity for a guest. - Manage Treatments, Activities and Staff Hours (
outlets.manageSchedule): edit what a spa or activities outlet offers, and the hours of the people and places that deliver it.
Grant these on a role under Users and roles. Outlets is a plan module: a property without it has no Outlets group in the sidebar.
How outlet revenue reaches the hotel
A bill settled at an outlet is that outlet's revenue. A bill charged to a room posts to that stay's folio, so the guest pays it at check-out with everything else. Reporting rolls both up with room revenue, so set the outlet's charges correctly before you start trading. See Folios.
